Special 2017 Annual Meeting Message to AERA Participants and Members Worldwide

A notice from AERA over the weekend.

Dear AERA Annual Meeting Participants and Members,

Yesterday marked six weeks until the official start date of the 2017 AERA Annual Meeting. AERA’s President, Conference Co-Chairs, and Program Chairs for Divisions, SIGs, and Committees have now put their finishing touches on the program. Thanks to them and all of you, 2017 is a very strong program.

We encourage all participants to come early to San Antonio. The Opening Plenary starts at 6:30pm on April 27th followed by the AERA Fiesta! Our Fiesta celebrates and commemorates Fiesta San Antonio that is in full swing the last ten days of April and dates back to the late 19th century.

We sadly acknowledge that not all participants are able to come to the 2017 AERA Annual Meeting. U.S. Presidential Executive Orders have had a real as well as chilling effect on non-U.S. participants. Some number of attendees fear that they cannot obtain visas because of their countries of origin or their religious or ethnic identities. Some participants who can attend the meeting are signally their concerns about U.S. statements of policy regarding the safe passage of visitors and permanent residents.

After the first Executive Order, AERA issued a statement underscoring our concerns about policies that use suspect, discriminatory criteria to limit entry into the United States. We remain concerned about denying access to scholars and students who mutually benefit from collaboration and exchange.

We have already taken affirmative steps to support participants who cannot attend because of circumstances that could prevent their entry or sense of safety while in the United States. We are issuing refunds of registration fees and offering alternative methods of presentation to those in these circumstances. If you are in a similar situation, please let us know by sending an email to Executive.Director@aera.net.

We would like to remind all presenters that you can contribute to making the meeting accessible worldwide by uploading your final papers to the AERA Online Paper Repository by the deadline of March 31, 2017 and indicating that it can be accessible to all readers. AERA offers the repository as an open access service through the AERA website. AERA authenticates the uploading of all papers. Those individuals worldwide who cannot attend the AERA Annual Meeting can benefit from reading current work if all presenters make that work accessible through the repository.

AERA is taking further steps to make additional sessions at the AERA Annual Meeting more accessible. In recent years, we have invested in expanding the number of web streamed sessions featured, to a total of 15. We are pleased to announce that for this year, due to the current circumstances, AERA will double that number and absorb the cost of doing so. We hope those who planned to attend the AERA Annual Meeting but now find that they cannot do so will benefit from expanded opportunities to view Annual Meeting sessions via the internet.

This email is intended to let you know that AERA appreciates the strong interest and engagement of education researchers in the AERA Annual Meeting. For those who unfortunately cannot be with us this year, we hope that a liberal refund policy, alternative modes of presentation of papers, expanded numbers of papers in the AERA Online Paper Repository, and access to a greater number of featured sessions via web streaming will underscore that you are in our hearts and minds.

AERA 2017 Annual Meeting Paper Upload and Final Program Changes

Note this AERA annual meeting update.

Deadline to Make Program Changes
Deadline: March 16, 2017
The deadline to make any program changes including changes to paper titles, session titles, and authors, as well as Session Chairs and Discussants is March 16, 2017. Please email changes to annualmtg@aera.net.

Paper Upload Specifications and Instructions
Deadline: March 31, 2017
The Online Program System is now open for individual paper authors and session submission authors to upload a copy of the final paper to be presented at the 2017 AERA Annual Meeting. All papers must be uploaded no later than March 31, 2017. Session chairs and discussants (if applicable) will review the uploaded papers through the system in order to prepare for the session.

Online Paper Repository
All authors may elect to have their papers, presentations or commentary papers included in the AERA online papers repository. Many elected to do so at the time of submission, but the option remains available at the time of uploading your final paper. The repository is intended to provide broad dissemination of research presentations made at Annual Meetings.

2017 AERA Annual Meeting Online Program is Now Open

We’ve been waiting for this for almost – maybe more than – a month…

Annual Meeting Online Program Open
Online Program Now Available
The online searchable program for the 2017 Annual Meeting is now open. Log in to view the online program schedule. Under the leadership of AERA President Vivian L. Gadsden, 2017 Annual Meeting General Program Chairs James Earl Davis and Angela E. Arzubiaga, and the program and section chairs of Divisions and SIGs, and Committees, the 2017 program is comprised of over 2,600 sessions featuring high quality and timely work in education research.

The program can be browsed by day and time and has a universal search function to search by presenter/participant’s name or affiliation, session title/topic, and paper title/topic. Select the session that is of interest to you, and place it in your personal schedule.

Deadline to Make Program Changes

Early Bird Registration
Deadline: March 10, 2017
AERA members receive a sizable discount on meeting registration. To get the special member registration rate, please make sure you have renewed your AERA membership for 2017. You will be able to renew your membership and reserve your hotel while registering for the meeting.

Take advantage of the early bird registration rates and access your hotel of choice at the special conference rate. Rooms at the major headquarters hotels are quickly filling up so reserve your hotel room today. The early bird registration deadline is March 10. AERA membership must be current through December 2017 for the special member registration discount.

2017 AERA Annual Meeting Call for Submissions Now Open

Dear AERA Members and Past Annual Meeting Attendees,With a little under a month before the deadline, we encourage you to submit your paper or session submission for the 2017 AERA Annual Meeting.  Submitting early ensures a smooth online submission process, and allows you to check the accuracy and status of your submission.

The 2017 Annual Meeting will be held Thursday, April 27 – Monday, May 1 in San Antonio, Texas. Vivian L. Gadsden, AERA President, Angela E. Arzubiaga, Annual Meeting Program Co-Chair, James Earl Davis, Annual Meeting Program Co-Chair, and the 2017 Program Committee, are pleased to announce this year’s Annual Meeting Theme: “Knowledge to Action: Achieving the Promise of Equal Educational Opportunity”. Now is the time to advance a paper or session submission for consideration by a division, special interest group, or committee and to volunteer as a chair or discussant.

Deadline for Paper and Session Submissions is July 22
Please review the Call for Submissions as it contains important information about this year’s Annual Meeting theme and submission requirements. Please log in to advance a paper or session submission. After you login, click ‘My AERA’ at the top of the page. On the ‘My AERA’ page, scroll down to the 2017 Annual Meeting and click ‘Online Program Portal’.

In preparing your submission, please pay special attention to the six elements that must be addressed in a narrative paper even if the results, conclusions, or findings are not complete or final at the time of the submission. Also, please indicate your preferred type of session and willingness to present in alternative formats at the time of submission.

Be Sure to Volunteer to Serve as a Chair or Discussant by August 31
There is still time to volunteer to be a Chair or Discussant at the 2017 Annual Meeting.  First, review the Call for Volunteer Session Chairs and Discussants and consider volunteering. Second, login to volunteer as a chair or discussant. The quality of the AERA Annual Meeting depends on education researchers with appropriate expertise who serve as chairs and discussants for paper sessions and roundtables.
